Analisis Pengelolaan Arsip Dinamis pada Unit Satuan Pengamanan Kantor Pusat Perumda Tirtanadi Sumatera Utara

Abstract

This research aims to analyze the management of dynamic archives in the Security Unit of the Head Office of Perumda Tirtanadi North Sumatra. This research used a descriptive method with a qualitative approach with purposive sampling techniques, informants in this research totaled three people. Descriptive data analysis techniques included observation, interview and documentation. The validity of the data in this research used triangulation techniques. The analysis was conducted based on four stages of dynamic archives management, namely using the E-Letter system, through stages: archives creation, archives use and maintenance, and archives reduction. The results of the research showed that archives creation was quite systematic with the support of the E-Letter system and the digitization of incoming letters already used a scanner then was verified by the head of the unit. The use of archives was dominated by official notes and memos accessed through a web-based system with authentication. Archives maintenance was carried out by storage in filing cabinets and safes, the available room was very limited causing accumulation. Archives reduction was still carried out simply, namely by considering the limited storage space and archives that were assessed as no longer having usefulness, then destroyed through burning. Based on the results of the research the management of dynamic archives in the security unit of the Head Office of Perumda Tirtanadi North Sumatra is quite good, but still has limited archival facilities and instruments.
